Job Description:

Position Summary

High Desert Ford is seeking an experienced Business Office Clerk to support the dealership's DMV, wholesale, and business office operations. This position is responsible for the accurate and timely processing of California vehicle registration, title, wholesale, dealer-trade, and related vehicle transaction paperwork.

The ideal candidate has hands-on DMVdesk experience, a strong understanding of California dealership documentation, and the ability to manage a high volume of detailed work while meeting deadlines. This role partners closely with Sales, Finance, Accounting, and dealership management.

Primary Responsibilities

  • Process DMV transactions for new, used, wholesale, and dealer-trade vehicles using DMVdesk.
  • Prepare and submit titles, registrations, transfers, license plate documents, lienholder information, and required DMV forms.
  • Process wholesale transactions, dealer trades, auction paperwork, and vehicle inventory transfers.
  • Review deal jackets for complete and accurate vehicle, customer, tax, title, registration, and lienholder information.
  • Track submissions and outstanding titles; correct rejected or returned transactions promptly.
  • Research discrepancies and coordinate with Sales, Finance, Accounting, vendors, and DMV personnel to resolve them.
  • Maintain organized, accurate, and audit-ready electronic and paper records.
  • Provide clerical support to the Controller, Assistant Controller, and Business Office team.
  • Perform other related business office duties as assigned.

 

Compensation and Benefits

Pay range: $20.00-$25.00 per hour. The range shown is the hourly rate High Desert Ford reasonably expects to pay for this position at the time of posting. The offered rate will be determined within the range based on relevant dealership experience, DMVdesk proficiency, job-related skills, and qualifications.

Job Requirements:

Required Qualifications

  • At least two years of dealership business office experience involving California DMV, title, registration, or wholesale processing.
  • Hands-on experience using DMVdesk (required).
  • Working knowledge of California DMV rules, forms, timelines, and documentation requirements.
  • Experience processing wholesale transactions, dealer trades, auction paperwork, or vehicle inventory transfers.
  • Ability to review deal jackets and identify missing, inconsistent, or inaccurate information.
  • Strong attention to detail, organization, follow-through, communication, and time management.
  • Ability to prioritize high-volume work, meet deadlines, and work independently or as part of a team.
  • Working knowledge of Microsoft Office, including Excel and Outlook, and dealership office systems.
  • Authorization to work in the United States.

Preferred Qualifications

  • Experience with Dealertrack, CDK, Reynolds & Reynolds, or a similar dealership management system.
  • Experience supporting a dealership Controller or Accounting Department, including related schedules and recordkeeping.
